Job Description

Administrative Assistant

Reporting directly to the Dean of the Carroll School of Management, the Administrative Assistant to the Dean is one of two positions that will provide direct support for a broad range of activities. This position will provide administrative support and coordination for the Dean's Office, will be responsible for maintaining and overseeing the Dean's calendar, correspondence and external projects.

The Administrative Assistant will be responsible for receiving people in the Dean's Office and directing them, both in person and on the phone. This person will be assigned special projects that require the use of PowerPoint, MS Access and MS Office for completion. Confidentiality is critical.

Essential Functions include:
-Read and prioritizing all incoming correspondence for the Dean's Office.
-Provide internal coordination for the Dean's Office and related functions.
-Develop and maintain contact databases for the Dean's Office
-Plan and coordinate special internal events and is responsible for logistical aspects of external relations functions.
-Schedule and maintain calendar of appointments, meetings and functions for the Dean's Office.
- Manage all correspondence to internal and external constituencies and respond to general inquiries and communications for Dean's Office
- Responsible for coordinating travel and meeting arrangements for the Dean

Requirements

-Must have the ability to deal with multiple time-sensitive interests requiring the Dean's attention.

-Prioritizes competing issues to determine which items require a response from the Dean or other faculty and staff.

-Excellent interpersonal, written and verbal communication skills.

-Demonstrated organizations skills along with the ability to prioritize the workload.

-Possess a high degree of discretion, judgement and diplomacy.

-Attention to detail and analytical skills.

-Ability to organize, handle and secure confidential records and confidential data

-Proficient in the Microsoft Office Suite, Keynote. Some experience with PeopleSoft HR/Financials a plus.

 

Experience:

Two years of college level work or equivalent education and experience required.

Requires a minimum of five years of increasingly complex administrative support experience including some experience working for a high-level administrator.

Prefer prior experience coordinating office events and special projects as well as higher education experience.
