Job Description

The Administrative  Assistant, Advancement Operations and Planning reports to the Associate Vice President for Advancement Operations and Planning and is responsible for providing administrative support to the Associate Vice President and Director of Advancement Talent, and works as part of the Administrative  team.  Specific responsibilities include scheduling meetings, training programs and events; preparing training materials; creating and maintaining project databases; coordinating interviews with candidates and staff; managing information in the applicant tracking system; preparing submissions and updates for the University Advancement facebook and intranet; screening of incoming telephone calls; preparing correspondence, memoranda and reports; maintaining organizational charts, maintaining an effective electronic and paper filing system and other organizational systems as required; tracking departmental expenses, arranging for meetings and travel accommodations; and assisting with special events and other projects. Will perform related duties as required.

Requirements

This position requires 2-3 years of increasingly responsible administrative experience in a professional setting; strong interpersonal and organizational skills with attention to detail and accuracy; excellent oral and written communications skills including effective phone communication skills; accurate typing skills;  a working knowledge of Windows PC, including Microsoft Word, Excel and FileMaker Pro; exceptional proofreading; strong attention to detail; a commitment to accuracy; and very adept at handling multiple tasks and working well within deadlines.  Also requires good judgment, discretion in handling confidential materials, ability to work independently without close supervision, and flexibility to work beyond the regular hours of the workday when necessary.  Candidate must possess solid knowledge of grammar and punctuation.

Requires and high school diploma, bachelor’s degree preferred.  Candidates should be highly motivated to work in a fast paced environment that will require some night and evening work.  Must be a team player who is highly motivated and dedicated to the goals of advancing higher education.  An appreciation for Jesuit Catholic education and the goals and values of Boston College is critical.  A desire to build a career in advancement is a plus.
