Job Description

The Programs and Event Specialist reports to the Director of Programs and Events and is a member of the Alumni Association within the University Advancement Division. The Programs and Events Specialist is responsible for supporting the planning and execution of cultivation, recognition, and stewardship events for the Alumni Association, the Development Office and the Office of the Sr. Vice President, University Advancement; works closely with the Director and Senior Associate Directors of Programs and Events, as well as with the fundraising units, to partner with events colleagues who are responsible for the development and execution of over 100 events annually.  The Program & Events Specialist assists the Director, Senior Associate Director, and Assistant Directors with event planning and implementation responsibilities and has full responsibility for a small portfolio of events each year as assigned by the Director.  This includes personal liaison with the client, securing event locations; working within a designated budget; selecting a menu; furniture rental; linens and flowers; security; signs; guest speaker gifts; coordinating a photo shoot list for the photographer and facilitating photos with the president; selecting entertainment and audio-visual equipment; preparing event timelines and phone lists; preparing purchase order and check requests and preparing event supply kits.  Additional responsibilities for all events include but are not limited to coding invitation lists in Millennium; printing invitation envelopes; preparing and posting invitations; opening and sorting event responses; maintaining response lists; follow-up and confirmation calls to event invitees; and general event support as assigned.

Requirements

This position requires a High School Diploma; a Bachelor’s Degree is preferred and a minimum of two to five years of increasingly responsible experience in special events in a University, other non-profit settings and for-profit business disciplines; or, an equivalent combination of events and other directly related experience.  Exceptional communications and interpersonal skills, as well as demonstrated event management skills such as diplomacy, creative thinking, vigilance, and the ability to quickly resolve problems with common sense and available resources is required as is the ability to manage multiple projects with keen attention to detail and excellent organizational skills.  Proficiency with the Microsoft Office suite is required.  A familiarity with fundraising software, especially Millennium, is preferred.  Knowledge of the University budget and purchasing policies and processes is preferred.  Knowledge of audiovisual components and their application and limitations is preferred. The ability to work flexible hours, to be available for on-site event management evenings and weekends on a regular basis with some travel is required.  Also, requires good judgment and discretion with confidential materials.
