Job Description

The Administrative Assistant/Office Manager provides administrative support critical to the smooth day-to-day functioning of University Counseling Services (UCS). This includes direct administrative support to the Director of UCS, tracking departmental budgets, assisting in preparation of data for both internal and external purposes, and oversight of the other Administrative Assistant staff. Additionally, in the absence of other Administrative Assistants, the Administrative Assistant/Office Manager must be able to cover critical front-facing responsibilities such as scheduling clients, responding to telephone and e-mail contacts, welcoming clients to UCS for their appointments, and managing various appointment changes as they arise. 

The Administrative Assistant/Office Manager serves as the Information Systems Administrator for UCS and is responsible for maintaining updates and contacts for support of our secure scheduling database. This individual also implements updates to the departmental website, and must possess a working knowledge of the standard software packages used by the University along with a willingness to keep up to date with changes in computing requirements.

High school diploma

Organizational management and supervisory skills, along with ability to work autonomously and take initiative

Experience working as a front of the office staff with confidential records (preferably in a mental health or medical setting), highly distressed individuals, and external collaborators

Ability to communicate effectively with professional and support staff, as well as with students, families, and University colleagues are all hallmarks of a potentially successful applicant for this position

Ability to manage and trouble-shoot electronic scheduling, reporting, and record keeping systems

Ability to manage budgets

Word processing skills, spreadsheet management

Dependability, reliability, high ethical standards, strong organizational skills, and strong work ethic
