Job Description

The Events Assistant, Alumni Classes reports to the Director of Student and Alumni Class Programs and supports the Director plus Associate and Assistant Director(s) as assigned in planning, coordinating, and implementing the Alumni Association’s class’s initiatives. The goal of the Alumni Classes Program is to foster alumni engagement based on the year or cohort when alumni graduated, and thereby develop a stronger national and international Boston College community which fosters support of the University’s mission. Specific Events Assistant responsibilities include:  supporting the Director, Associate and Assistant  Director(s)  with numerous tasks in a team environment, including the preparation for various class events throughout the year that are geared to increasing involvement of alumni in the alumni classes initiatives. The largest of these events is Reunion Weekend, which serves as the largest and most complex Classes program of the year, and involves 40-50 events over three days with over 5,000 alumni and friends in attendance. The Events Assistant will be charged with several tasks related to Reunion Weekend and other events, including:  maintaining online event registrations; overseeing all internal reporting needs for the team, including those relating to marketing and emails for events; managing the Classes and Reunion phone lines and email inboxes and triaging questions from alumni; preparing inventory and ordering supplies for events;  recruiting and coordinating student workers for Reunion Weekend; prepping and executing several events throughout the year, including Reunion Weekend itself; and many other tasks.  Because the Events Assistant serves as a primary point of contact with alumni class leaders and volunteers throughout the year, the Events Assistant must be able to represent the University and the Alumni Association in a professional, enthusiastic manner with excellent customer service. The Events Assistant will also serve as part of the larger BCAA team and will work on general BCAA events during the year and perform other duties as assigned.

Requirements

This position requires a High School Diploma and a minimum of two to three years of increasingly responsible experience in special events in a University, other non-profit settings and for-profit business disciplines; or, an equivalent combination of events and other directly related experience.  Exceptional communications and interpersonal skills, as well as demonstrated event management skills such as diplomacy, creative thinking, vigilance, and the ability to quickly resolve problems with common sense and available resources is required as is the ability to manage multiple projects with keen attention to detail and excellent organizational skills.  Proficiency with the Microsoft Office suite is required.  Knowledge of the University budget and purchasing policies and processes is preferred.  The ability to work flexible hours, to be available for on-site event management evenings and weekends on a regular basis with some travel is required.  Also, requires good judgment and discretion with confidential materials.  Must be a team player who is highly motivated and dedicated to the goals of advancing higher education.  An appreciation for Jesuit Catholic education and the goals and values of Boston College is critical.

Preferences:
A Bachelor’s Degree is preferred as is a familiarity with fundraising software, especially Millennium.  Knowledge of the University budget and purchasing policies and processes is preferred.
